Exhibitor FAQ

Listed below are the rules and regulations that all exhibitors must adhere to. Please review them.
 
Age Restriction:
No one under the age of 18 is permitted in the exhibit hall at any time.
 
Attendee Lists:
ASCA does not ever share e-mail attendee or member lists with third-party organizations. If you get solicited, it is fraudulent. If you are a Gold, Platinum or Diamond sponsor or an Alliance Partner, you will receive a post-conference attendee list for all attendees who opted in.
 
Audio Visual (Projection AV)
Information regarding purchasing AV equipment such as monitors, laptops, etc. can be found here and will be available in the exhibitor kit: projection.boomerecommerce.com or E-Mail: exhibits@projection.com
 
Conference App:
Search for “ASCA Conferences” in the App or Android store
Enter the email address that is associated with your registration badge
You will then receive a code via email to set your password and begin using the app. If the code does not appear in your email, please check your spam folder
Visit the Conference App kiosk at the Ernest N. Morial Convention Center near Registration if you are still having issues when you arrive in New Orleans. Please update your app right before the conference to ensure you have the latest version with all the enhancements.

Dress Code:
Please represent yourself and your team in either business professional or business casual attire. During setup: jeans, t-shirts and sneakers are acceptable. No flip-flops at any time.

Exhibit Booth Unloading: Directions will be included in the Exhibitor Kit. 
 
Exhibitor Kit: 
The General Services Contractor (Show Decorator) is The Expo Group. Exhibitor Kit access will be sent to you by The Expo Group. Included within the Exhibitor Kit will be information on the following:
Shipping – where, when and how to ship your exhibit booth materials
Electrical – information on how to order electricity for your exhibit space; we recommend bringing/purchasing your own electrical extension cord
AV – optional services (i.e. monitors) and equipment to purchase
Internet – optional services
Booth Catering – optional food items to purchase for your booth to hand out
Lead Retrieval – ability to scan attendee badges as they stop by your booth
Carpet/Flooring Options – floor covering is mandatory
Furniture – optional furniture to purchase to enhance your exhibit space
Rental Exhibits – optional exhibitor pre-packaged booths
The Exhibitor Service Kit will launch in late March 2026. If you did not receive your Exhibitor Kit or have questions, please contact The Expo Group directly at: (972) 580-9000 or ExhibitorService@theexpogroup.com
 
Exhibitor Lounge:
There will be an exclusive lounge in the exhibit hall throughout the conference for exhibitors only. 
 
Exhibitor Registration: (Name Badges)

Every individual must be registered to receive a name badge for access to the Exhibit Hall. Name badges are not transferrable. You must have a name badge plus an Exhibitor ribbon to enter the Exhibit Hall at all times – including setup and teardown. You may register your team at any time until July 1.
You will receive two exhibitor registrations for each 10×10 space you have.
You may register additional exhibitors for $249 online.
You may register full conference exhibitors (attend sessions and earn CEU credits) for $449 online.
NOTE: if you are also a Full Conference attendee, please make sure you have an Exhibitor ribbon on your badge to access the Exhibit Hall during setup.

Exhibitor Schedule: (Tentative)
Exhibitors will be permitted to enter the Exhibit Hall 30 minutes prior to the opening each day.
 
Friday July 10
10 a.m.–7 p.m.          Move In
 
Saturday July 11
8–10 a.m.                  Move In
All Exhibit Booths MUST BE setup prior to 10 a.m. Saturday; No Exceptions, so please plan your travel accordingly.
 
12–5 p.m.                  Exhibit Hall Open
12–1:30 p.m.             Lunch in the Exhibit Hall 
3–3:30 p.m.               Break in the Exhibit Hall
 
Sunday July 12
10 a.m.–5 p.m.          Exhibit Hall Open
12–1:30 p.m.             Lunch in the Exhibit Hall 
2:30–3:30 p.m.          Break in the Exhibit Hall
 
Monday July 13
9 a.m.–2 p.m.            Exhibit Hall Open
11:30 a.m.–1 p.m.     Lunch in the Exhibit Hall 
2–6 p.m.                    Move Out

You CANNOT take your exhibit booth down prior to 2 p.m. on Monday July 13 – NO EXCEPTIONS. If you do, you will be charged a fee equal to the cost of your exhibit space.
 
Floor Covering:
Floor covering is MANDATORY. You can purchase carpet/padding through The Expo Group (exhibitor kit) or via Home Depot, Lowes or Amazon, which all have rubberized flooring available. Example: https://www.homedepot.com/s/rubber%2520floor%2520tiles?NCNI-5. Your floor covering MUST cover your entire exhibit space. If you utilize your own floor covering and it is not compliant or doesn’t cover your entire space, The Expo Group will provide you with carpeting at their cost.

Lodging: 
ASCA has negotiated lower rates with numerous hotels within the New Orleans area, please refresh this page for the most up-to-date information:

ASCA does not utilize third parties to book hotel rooms. You must contact the hotel directly via our conference website. No one from ASCA will call you. If you get solicited, it is fraudulent. Check back often as hotel availability is constantly being updated.
 
Luggage Storage:
Luggage storage will be available in the registration foyer on Saturday, July 11 and Tuesday, July 14. 
 
Meals:
As an exhibitor, you will be provided with lunch each day and be permitted to eat lunch prior to attendees arriving in the exhibit hall. There will also be an exhibitor exclusive lounge located in the rear of the exhibit hall. 
 
Pets:
Under no circumstance will any pet(s) be allowed in the Convention Center without prior written approval from ASCA.
 
Shipping:
Shipping information will be provided in the Exhibitor Kit. You will only be permitted to hand carry items into the Exhibit Hall. All large items must be shipped through the Expo Group. If you decide to ship your items utilizing another carrier such as FedEx, UPS, USPS, etc., you will be responsible for coordinating that shipment and may have to pick it up/drop it off at the carrier’s location. Shipping Questions: (972) 580-9000 or ExhibitorService@theexpogroup.com
 
Shuttle Buses:
Shuttles will be provided from hotels that are not within walking distance.
 
Terms and Conditions:
All exhibitors must adhere to the terms and conditions as listed in the exhibitor prospectus

Website Listing:
Each exhibitor is entitled to a ~50-word description that will be located on both the conference website and Conference App. Please send your description to sales@schoolcounselor.org. The deadline for submission is July 1 – No Exceptions!
